​The purpose of this Privacy statement is to inform about the gathering and use of personal data in on Europol Platform for Experts.  

 

What is the purpose of the collection of personal data?

Personal data is collected to facilitate networking, communication and collaboration between the members of the various experts groups. Personal data is also collected for to support governance processes, support information security and provide business intelligence to the Europol National Units in the EU Members States and Europol Third Party National Contact Points. 

What is the legal basis for processing personal data?

Europol is committed to user privacy. All personal data collected by Europol are processed in accordance with the provisions of Regulation (EC) No 45/2001 of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regards to the processing of personal data by the Community institutions and bodies and on the free movement of such data.

What personal data is collected?

Personal data shall mean any information relating to an identified or identifiable natural person; where "identifiable person" means  a person that can be identified, directly or indirectly, in particular by reference to an identification number or to one or more factors specific to his/her physical, physiological, mental, economic, cultural or social identity.

 

The following contact details of applicants are collected through the registration page:

  • Names and Unit 

  • Organisation

  • Country

  • Professional and individual e-mail address;

  • Two last login dates

Additional personal data voluntarily shared may include

  • Area of expertise and area of responsibility
  • Office phone number;
  • additional contact information – i.e. mobile phone, fax, home phone, office location, assistant

  • photographs of members 

Who has access to your personal data and to whom is it disclosed?

FULL ACCESS

  • Europol Business Product Management and Europol C1 ICT Helpdesk and back office;

  • Europol national Units and National Contact Points can see the full details of all the members registered for their country.

LIMITED ACCESS 

  • Members of the platform can only consult the details of the members with whom they share at least one platform in common. 
  • The last two login dates are only visible by site managers, Europol platform managers, EPE administrators and User Authorisers.

What is a Data Controller and who is it at Europol for EPE?

The Data Controller is the legal person who determines the purposes and means of the processing of personal data. In particular the Data Controller has the duties of ensuring the quality of data on computer or in structured manual files. The Data Controller is EUROPOL and Europol National Units and National Contact Points (where applicable) .

 How long is your personal data kept?

  • The data is not deleted unless explicitly requested through the email epe@europol.europa.eu 

  • All user who have not connected to EPE for the last two years will have their membership deactivated, meaning that they will no longer receive EPE notifications or be able to connect to EPE; they will no longer be visible in the user directory of the platform they have a membership to. 


 How is my data stored?

Data are stored electronically at Europol. Currently, there are four different environments where data is stored – Development (used by developers to develop new functionality and set up new configuration); Testing (used by testers to verify new developments and configuration); Staging (used by testers to verify deployability of code to Production; Production (maintained by Europol CDBPM and all Europol Platform Managers and site managers, and is accessible to all members of EPE). 

 What are your rights as a Data subject? 

A Data Subject shall have the right of access to his/her personal data and the right to rectify any such data that is inaccurate or incomplete.

Can I have my data removed?

You can remove your own contributions at any time (the author can always edit and/or delete their own contributions).

You can have your profile deactivated or deleted by requesting it to epe@europol.europa.eu
